When it comes to the wedding planning process we tried to alleviate as many headaches as possible. our goal is to make this a streamline process with as little confusion as needed. here's an outline of our step-by-step timeline from the first time we meet until the day of your wedding.
When booking a DJ, we ask that you send us a list of music preferences and details about your wedding. This helps us plan out the perfect playlist for your special occasion. Once we've received your information, we'll reach out to schedule a consultation meeting where we discuss your specific requests. During this meeting, we'll go over your song choices and answer any questions you may have. Afterward, we'll send you a contract outlining the terms of our agreement.
We have a robust online planning system. our online system will take care of all the event details and information. it will also host your contract and invoice for future viewing. all the important information that you'll need to find for your wedding will be filled out in these planning forms. it will hold all the information for our DJ packages photo booths and any other services that you order from us
The wedding venue walkthrough is an important part of the process, as it will help us get a sense of the layout and what we need to do to set up for your big day. We want to make sure that everything goes smoothly on your big day which means we need to be prepared for any challenges that could come up. Once your wedding date arrives, we'll arrive early to set up and test our equipment. Then, we'll start preparing your playlist and setting up the lights. When the ceremony begins, we'll take care of the rest. We'll greet your guests, introduce ourselves, and then begin playing the songs you requested. Throughout the evening, we'll stay in constant communication with you so that you always know what's going on. We want to help you relax and enjoy yourself while your guests party!
On the day of the wedding we will show up to the venue 2 to 3 hours before the event starts. we will communicate with all the different vendors to make sure everything has what they need from us and there is a clear line of communication between all parties. our job is to make sure that there are no sudden changes and then we have a smooth and successful event.
Weddings can be a stressful time and having to coordinate multiple vendors can make it even more difficult. At DJ Cutt Entertainment, our wedding professionals take care of all the details so that you can focus on enjoying your special day. We offer comprehensive wedding packages that include options for Photo Booth, Cold Spark Machines, Uplighting, and Wedding Videography. Take the stress out of planning your wedding by hiring one vendor to take care of all of your entertainment needs and get the dream wedding you've always wanted.
The very first step is setting up a consultation meeting with us via Zoom or a phone call. Zoom is preferred as it’s easier to go over the details of your wedding, the details of our setup, the booking process, and to make sure we’re a good fit for your event. After this call, we’ll send over a contract. Once the contract is signed and deposit is made (50% retainer), then your date is secured. Next, we schedule a site walkthrough (see below). Then, one month prior to your wedding, we’ll reach out again to schedule a final check-in before your wedding. You will need to fill out some forms on our website, which is how you will provide us with all necessary information for your event, and make any song requests. On the day of your event, we will arrive two to three hours beforehand, in order to have enough time for set up.
We accept most forms of payment, including Venmo, Paypal, credit card, and debit card. There is a 3% fee charged for each credit card or debit transaction.
If you choose to go with the DJ Cutt package, I will be assigned to your event. For all other packages, staffing will be assigned based on service needs. This will be listed inside on your online portal account.
Many weddings are at popular venues that we’ve worked many times. But especially for sites we’ve never worked before, we highly encourage a site walkthrough beforehand to go over all the necessary details and make sure we have access to everything we need. At the site walkthrough, we’ll go over the floor plan and figure out the best spot for our set up, where we’ll be drawing power from, and other logistical details.
None of our employees will drink alcohol before or during your event. We ask that you provide a vendor meal (equivalent to what your guests will be eating) for each of our staff working your event. We’ll provide the number of staff based on the package that you’ve ordered.
Our standard DJ package start at five hours. If you need to add time to your package, that is no problem. We typically charge $150 dollars for every hour added. It’s possible to add extra time during the event, but we ask that you pay the overtime fee at that time, rather than after the event.
We provide you with the ability to make requests and create a Do Not Play list prior to the event. During the event, we will take requests from guests. If a song is requested that is on your Do Not Play list, we’ll check with the Bride or Groom before playing it to make sure it’s okay.
Our pricing package is based on hours, not on the type of event (such as a ceremony vs a reception). This means that we are able to accommodate both a ceremony and reception if it fits within the time frame of your event. Another question we get a lot is what if you’re not having a ceremony. This will not impact the price, as once again, our fees are based on hours, not the type of event. This means that we are able to cover both a ceremony and a reception with one of our standard packages.
There is no limit to how far we’ll travel. We do not charge a travel fee for any wedding within 40 miles of Portland. For venues that are more than 40 miles from Portland, we will charge a travel fee of $2 per mile (both ways).
For each wedding, we request a floor plan from you beforehand. We will need an area that is 10x10 for our DJ space. We also ask that there are no tables in front of the DJ booth, so that there are no speakers right next to one of your tables. We prefer a clear area to the dance floor when possible.
